About the role

OUP’s highly successful ELT Division is looking for a motivated professional to work in our Content Strategy Department to provide administrative support to Publishers and content teams. The post-holder will be required to operate cross-team, but is expected to work, in the first instance, with the Primary editorial team. The post-holder will need to offer a pro-active and flexible approach, and be willing to engage with and support the introduction of new platforms and new or revised work processes.

Responsibilities include:

  • To be the first point of contact for administration support to team members and external suppliers, providing accurate advice and up-to-date information by relevant methods in order to assist and enable organizational operations and effective service.
  •  To work with colleagues in the Administration team and the ELT Division to establish and embed new procedures and review and improve processes, workflows and systems.
  • Provide personal support to allocated Publishers/Heads of Design, including processing of expenses, arranging travel and meeting room bookings, as required.
  • To process contracts for Authors, external suppliers and freelancers as requested by the members of the group; to prepare and circulate reporting and other forms of data for decision-making; track expenditure; maintain and help evolve efficient filing systems to assist effective and collaborative working. 
  • Working with Editorial/Design colleagues to enter Publishing Proposal data into the system ready for approval; to navigate the system and interpret the information provided, and to help co-ordinate and support others through the process, as needed.

This role is a fixed term contract for 6 months with the possibility for extension.

To be successful in this role you must demonstrate:

  • Previous administrative experience in a busy setting
  • Intermediate level of computer literacy (including Microsoft Excel)
  • Ability to cope with complexity
  • Ability to problem-solve
  • High attention to detail
  • Organisational and time management skills to a high level
  • Excellent communication and interpersonal skills
  • Experience of multiple business systems and software

Desirable

  • Experience of continuous business process improvement
  • Previous experience of working in a Publishing organisation
