Exhibitions Assistant (Fixed Term Contract)

The Marketing Operations and Strategy department offers skills and expertise to marketing staff operating in the Academic publishing division, this so that marketing provided by the division is delivered effectively and supports the OUP mission as well as the division’s specific commercial aims.

The Exhibitions team sits within the Marketing Operations and Strategy department and so facilitates the delivery of conference presence and attendance globally on behalf of the Academic division.

This fixed term role is an excellent opportunity to join a busy, global team responsible for OUP Academic’s participation in a significant number of events/exhibitions annually. The role will provide a valuable introduction to event logistics/management as well as a broader insight into how marketing works in a large publishing firm.

The main responsibilities will be to:

  • Research new conference requests generated by the Exhibitions Management System (EMS) to provide managers with information needed to make decisions regarding attendance.
  • Under general supervision manage a small list of conferences each month, including reservation of space, making decisions on booth placements; developing a booth layout plan, determining what furniture is required and registering staff.
  • Co-ordinate the administration of the exhibition by producing accurate material orders and liaising with the warehouse to ensure correct and timely delivery and collection of exhibition materials.
  • Organise and facilitate communication between different marketing teams globally to create a collaborative approach for the best possible use of available space / promotion at an exhibition as well as delivery/merchandising when on site.
  • Provide support to the Exhibitions team in the form of data entry and reporting, including but not limited to: generating reports and logging conference information on the EMS system.
  • On occasions provide cover at exhibitions / events as required to ensure adequate presence.
  • Assist other members of the Exhibitions team in training new marketing staff on current exhibition systems and processes.
  • Assist with annual “internal” or social events (for eg Oxford Journals Day)

Please note, this is a fixed term contract of 26 weeks.

To be successful in this role you must have:

  • Excellent organisational skills and attention to detail.
  • Ability to prioritise and manage time efficiently.
  • Good communication skills (written and oral), the job holder will be dealing with lots of internal and external contacts all around the world.
  • Proficient in the use of Outlook and Excel, with the ability to pick up internal database, systems and procedures.
  • A proactive, flexible and positive attitude towards tasks and problems.
