Facilities Manager: Building Services

The Estates and Facilities team and is responsible for maintaining the Press’s Oxford HQ buildings which comprise 30,000 sq. m. offices (2,300 workstations) in a mix of new and old buildings, including listed buildings dating back to the early 1800s.

The post-holder will be responsible for budgeting, planning and supervising all maintenance activity around the buildings, including mechanical and electrical plant and equipment. The position will also be responsible for overseeing delivery of cleaning, security and catering services across the HQ campus.  

In addition to above, the successful candidate will…

  • Devise and implement planned preventative maintenance plan (PPM) for the HQ buildings. 
  • Manage in-house Maintenance teams (currently a team of 4 direct and 2 indirect reports) to undertake day-to-day building maintenance activities including team performance & development.
  • Oversee reactive maintenance activity.  Manage all aspects of contractor day-to-day activities on site, ensuring compliance with the Press’s safe systems of work. 
  • Supervise the delivery of workplace services including, but not limited to, catering, cleaning and security (delivered by outsourced providers). 
  • Propose and manage capital projects to replace and renew critical mechanical and electrical plant including initiatives to reduce the Press’s energy consumption and environmental impact. 
  • Ensure that our buildings and workspace are safe and comply with statutory regulations.
  • Prepare, manage and be accountable for maintenance budgets and expenditure, ensuring cost effectiveness and accuracy of invoicing and supplier payments.
  • Contribute positively to creating and maintaining a safe place to work and to the Estates & Facilities’ team broader objective of creating a better place to work for the Press’s employees.
  • Develop and maintain positive working relationships with the Press’s suppliers, while adhering at all times to the Press’s strong ethical standards. 
  • Provide occasional subject-matter expertise as required to the wider OUP portfolio including overseas properties as required. 

About you


  • Strong technical knowledge of building maintenance plus mechanical, electrical and HVAC systems
  • Demonstrable experience of:
    • Setting up and managing maintenance programmes
    • Preparing and managing capital projects (up to £0.5m) including selecting and appointing contractors on suitable contract terms
  • Strong people management skills, able to motivate and get the best out of small teams
  • Thorough knowledge of relevant Health & Safety legislation and regulatory frameworks in relation to facilities management, construction and managing contractors
  • Sound financial skills, able to prepare and control budgets and project expenditure
  • Good communication skills, comfortable with operating across all levels in an organization
  • Customer focused, willing to strive for excellence
  • Flexible and adaptable, willing to take on new challenges and support other members of the Estates & Facilities team
  • Some occasional out-of-hours availability may be required


  • IOSH or NEBOSH qualification
  • BIFM qualification (level 4 or higher)
  • Experience of heritage/listed buildings
