Marketing Administrator

About the Role

We are looking for a highly efficient, professional and proactive Administrator to join our busy, friendly team specialising in marketing print and digital resources to schools and parents in the UK. Reporting to a Senior Marketing Manager, you will be responsible for providing administrative support, and for maintaining systems and procedures to keep the marketing departments running smoothly. This is a really varied role, and an opportunity to join one of the world’s leading educational publishers.  You will also provide high level support to senior directors in the marketing teams, to ensure the effective organisation of management time.

Key duties include:

  • Ensure that all administrative needs are met, and administrative processes are continually reviewed and improved to maximise efficiency.
  • Ensure that key departmental documents are maintained and archived, and that data protection policies and design permissions are met.
  • Support the team with managing freelancers and Statements of Work, and all associated compliance activity.
  • Manage third party emarketing bookings and schedules, ensure that deadlines are met and that all relevant parties have a clear line of communication.
  • Act as the department Key User for key IT systems: managing team sites, reporting updates from meetings and dealing with day-to-day queries to help ensure team are comfortable using these systems.
  • Use SAP to manage publicity stock and reprints, organise direct mail to schools, set up linked publicity, and load discounts.
  • Schedule team meetings and take into consideration conflicting diaries, remote working and (where appropriate) in-house meeting room facilities.
  • Maintain customer, bibliographic and media databases ensuring data is accurate and up-to-date.
  • Provide additional support to the marketing team – including the build of emails to customers and updates to webpages using a detailed brief from marketing campaign managers.

  We’re all currently working from home at the moment due to COVID.  We are currently thinking through how we use our offices in the future and are open to discussing flexibility within this such as a blend of office and home working. Please note, this role does include some tasks to be carried out in the Oxford office.

About You

The successful applicant will be well organized, competent in written and administrative tasks, and able to prioritize work. You will have confidence with IT systems, spreadsheets, and websites. Experience of working in an office environment would be ideal.


  • Well organised and able to manage workload and prioritise.
  • Interpersonal, communication, and teamwork skills.
  • Able to learn new IT systems and processes quickly.
  • Proactive with good problem-solving abilities.
  • Excellent attention to detail.


  • Experience of administration in a complex organization or customer support and service.
  • Experience of Outlook and Microsoft Teams for meeting scheduling, communication and file management.
  • Experience of SAP, Digital Asset Management systems and databases.
  • Experience of Excel – including conditional formatting, filtering and look ups.
  • Experience of completing contract templates.
