About the role

This key role will act as PA to the Global Operations and Business Change Director to provide complex diary management and administrative support to the management team, and to ensure the smooth running of the department.

The key accountabilities include:

  • Providing a first class service to the Oxford-based Global Operations management team, including travel and accommodation, to ensure the department and its activities run smoothly
  • Producing minutes for various departmental meetings to capture information, decisions and relevant action points so that accurate records can be maintained and action points are followed up
  • Managing the day-to-day tracking of projects within the Global Operations portfolio, ensuring documentation is up to date, and setting up and running weekly portfolio meetings
  • Assisting with devising and implementing communication plans about the department in conjunction with the management team
  • Processing all payments and expenses requests accurately and keep track of expenditure against departmental budgets, in order to support effectively management of the departmental budget
  • Developing and reviewing departmental administrative working practices in order to streamline processes and procedures, and provide team members with efficient means of storing and retrieving information
  • Researching, analyzing and summarizing data to provide accurate information for audits, briefs, reports, contracts, correspondence, presentations and/or meetings; and to maintain program goals and/or strategic plans

About you

The successful candidate must be able to demonstrate:

  • Practical hands-on administrative experience in a project office or office environment
  • Excellent planning skills, with the aptitude to learn project management skills
  • Excellent computing skills including Word, Excel, Outlook, and PowerPoint.
  • Excellent oral and written communication skills
  • Discretion in the handling of confidential information
  • Self-motivation and flexible team-player who can relate positively to a wide range of people
  • Ability to multi-task and prioritize between tasks
  • Good data analysis skills
