Product Administrator (Fixed Term Contract)

About the Role

NB This is a fixed term contract for a minimum period of 6 months.

We are looking for a motivated Administrator to join our Custom Product Team in the English Language Teaching (ELT) department on a 6-month fixed term contract as Product Administrator.

The Custom Publishing unit is a new and exciting focus for the ELT Division; the team works on fast paced projects across multiple regions and stakeholders. The Product Administrator role is pivotal in supporting the Custom Product team's day-to-day operations. The role-holder will support the Custom Product team in the day-to-day delivery of the work within the Custom Publishing unit. The role-holder will provide efficient and proactive support, liaise with the administrative and other Core product teams on operational tasks.

Duties of the role will include:

  • Inputting product pipeline data into the Custom Product tracker.
  • Implementing best practice workflows for file archive retrieval, asset sharing, and storage.
  • Managing archive requests and contributing to the creation of an asset repository with searchable functionality and metadata.
  • Generate, update, and circulate Custom Product dashboard (power BI) reports monthly
  • Creating Custom project forms and checklists for streamlined project setup and planning.
  • Developing templates and automating rate card data in Excel to support project cost estimates.
  • Contributing to continuous improvement in tools and processes to improve efficiency in project set-up and delivery.
  • Support team, stakeholder meeting scheduling, sharing, and updating agendas, minuting of meetings as appropriate
  • Support supplier set-up, on boarding and systems access and new starter on boarding, systems access
  • Track progress of Product specifications, cost group set-up and ISBN creation.
  • Assisting in key account approval with relevant project details.
  • Maintaining track of overhead budget requests and movement to appropriate cost centre and projects
  • Creating author letters of agreements and supplier statement of work contract requests.
  • Leading support for Product teams in gathering first-cost information and coordinating input into costs.
  • Collating and reporting on WIP first-cost for project approval board decisions
  • Handling assets and archive files retrieval requests and organising files in Oxford Digital Asset Management system
  • Managing team requests for component access and ISBN information.
  • Managing a repository of best practice templates for various project stages.
  • Liaising with Product teams to develop and update template briefs.

We operate a hybrid working policy that requires a minimum of 2 days per week in the Oxford office. 

About You

To be successful in this role, you will ideally have/be:

  • Highly organized with strong attention to detail.
  • Experience of working within knowledge-based industry, preferably education and academic publishing
  • Ability to multi-task and prioritize competing tasks and deadlines. Perform duties with the highest level of confidentiality and integrity.
  • An autonomous worker with strong follow-through skills. Ability to build relationships with key players and management.
  • Solid experience in project management / coordination with the ability to hit the ground running.
  • Proficient in use of Excel and Power BI reporting
  • Extensive familiarity with Microsoft suite and reporting tools
  • Demonstrable experience working with cross-functional teams to deliver outcomes
  • Experience working effectively within a matrix structure
  • Managing and communicating effectively with stakeholders at all levels
  • Experience working with English Language products – desirable
