Portfolio Coordinator

About the Role

As a Portfolio Coordinator, you will be part of a team responsible for providing support to ensure that projects and value streams have access to best practice guidance on methods and processes and undertake administrative duties so that the team are able to undertake quality assurance and report effectively. 

This is an ideal time to join team as we are at pivotal point of transformation and change.  Whoever moves into this role will have an opportunity to develop themselves, the team, and what we offer by making improvements to our capabilities and how we deliver our projects.  This role is ideally suited to someone with understanding of project management process and data analytics who also has good working knowledge of Excel.

Duties of the role will include:

  • Provide support and administrative duties to the Standards and Assurance team.
  • Coordinate Standards and Assurance processes, systems/tools; ensure governance is adhered to and that reporting is actioned by Project Managers.
  • Collect, organise and analyse data, providing key information to appropriate audiences, identifying trends and key metrics.
  • Coordinate Standards and Assurance activities including the Standards and Assurance SharePoint site, Project Online, team mailbox and calendar
  • Assisting with development/delivery of Project lessons learned workshops, capture, assess and sharing knowledge to identify areas that require adaptation or change.
  • Regularly update the Portfolio risk and issue register from the project risk registers, identifying trends and escalations.
  • Support Project closure tasks e.g. archiving files, transferring files to business as usual
  • Act as a reference point for Standards and Assurance queries and information and be an advocate for best practice
  • Maintain processes to ensure project management documentation, reports and plans are accurate and complete

We are thinking through how we use our offices in the future and are open to discussing flexibility within this such as a blend of office and home working. We expect this role to require 2 days per week in the Oxford office. 

About You

You will have:

  • Project reporting and governance experience either working on a project/programme or working within a function that is responsible for providing programme governance standards.
  • Experience of producing business documents for a range of stakeholders to a high standard.
  • Strong process management skills and the ability to ensure adherence to a defined process.
  • Strong inter-personal and stakeholder management skills.
  • Demonstrable experience of working with simple data models, the collection and processing of data, and producing effective reports.
  • Good communication skills, able to rapidly build trust and work effectively with people at all levels.
  • A positive attitude - views failures and challenges as learning opportunities
  • Action and delivery focus
  • Good organisation skills with the ability to manage and monitor tasks
  • Precise, excellent attention to detail
  • Knowledge of the Microsoft Power Platform would be advantageous
  • An appetite to learn new tools, technologies, and processes
